- Responsible for organising meetings and accurately recording meeting deliberations, decisions, and action items, ensuring a clear and concise record of the meeting.
- Oversee a wide range of Personal Assistant and Secretary duties, including managing the Executive Director's calendar, scheduling appointments, and organizing meetings. Coordinate all aspects of travel and accommodation arrangements, including flights, transportation, and events.
- Enhance overall office efficiency through proactive problem-solving and effective handling of daily challenges and unexpected situations. Implement strategies to streamline processes and improve workflow.
- Prioritize commitments and resolve scheduling conflicts for the Executive Director, offering recommendations to ensure smooth day-to-day operations and optimal time management.
- Proactively remind the Executive Director of critical tasks and deadlines to ensure timely execution and prevent delays.
- Handle all matters related to the Executive Director, including confidential tasks, private matters, and interactions with various levels of management and business associates. Maintain a professional demeanor in all communications.
- Ensure seamless communication between the Executive Director's office and internal/external stakeholders, delivering effective and clear messaging.
- Manage internal and external correspondence on behalf of the Executive Director, including emails, letters, and reports. Ensure that all communications are accurate, clear, and timely.
- Schedule and coordinate monthly department meeting, take detailed minutes and follow up on necessary actions to ensure that all points are addressed.
Job Requirements:
- Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, Secretarial or equivalent.
- At least 3 years and above of working experience in the related field is required for this position.
- Excellent organizational and communication skills.
- Proactive, resourceful, and able to adapt to dynamic situations.
- Professional demeanour with the ability to engage with diverse groups.
- Pleasant personality and ability to work independently and work under pressure.
- High level of integrity and able to maintain confidentiality at all time.
- Computer literate - Microsoft Window, Excel and Microsoft Outlook.
- Possess good communication and interpersonal skills.
Salary: RM6,000 - RM6,500
